πŸ“– Supervisor Field Guide β€” the task system

🎯 Launcher

The one-sentence version: you file an ask in plain English, AI hands it to the right person with a due date, it lands on their store board and their GroupMe group, they reply "done" right in the chat, and nothing can quietly rot β€” anything waiting 48h+ gets flagged to all of us every morning.

1 Β· Filing a task (the launcher)

  1. From TSS Ops β†’ the TSS Ops Task Launcher card (it signs you in automatically).
  2. Type the ask the way you'd text it: "Terra needs to call the 3 tenants over 60 days past due before Friday"
  3. Tap ✨ Suggest assignment β€” AI picks the person, store, due date and priority. Fix anything it got wrong.
  4. Verified by (optional): pick a verifier and the task can't close until that person signs off. Use it for anything you'd otherwise have to chase.
  5. πŸš€ Launch. Done β€” it's on their board, and their GroupMe group gets pinged within ~15 minutes (weekdays).

2 Β· What the managers see & how they reply

Maurice posts new tasks in the store's group. The manager doesn't need the website β€” they can just reply in the group:

Manager: "done" β†’ the task closes (or goes to its verifier). Maurice confirms.
Manager: "the batteries were swapped 6/28" β†’ saved as a comment on the task, and we see it.

Weekends are protected: tasks filed Sat–Sun stack up silently and arrive as ONE "Monday line-up" message per store at 8am Monday.

3 Β· Verification β€” your sign-off duty

When you're the verifier and the assignee marks a task done, it turns 🟣 awaiting verification and you get pinged in TSS management. On the launcher:

βœ” Verify & close if the work is good Β· ↩ Send back if it isn't (it reopens on their board).

Don't sit on these β€” a task stuck in verification 2+ days shows up in the morning digest with your name on it, same as an overdue task.

4 Β· The morning digest (the accountability engine)

Every morning Sterling posts the aging asks in TSS management: every task that's πŸ”΄ overdue, ⏳ waiting 48h+, or 🟣 stuck in verification. That list is the day's chase list β€” work it top-down.

5 Β· The bots β€” who talks where

BotWhereWhat it does
MauriceEach store groupAnnounces tasks, relays comments, takes "done" replies. Weekdays only; consolidated Monday line-up after weekends.
SterlingTSS managementReal-time copy of every filing, verification handoffs, the morning aging digest β€” and he answers questions: address him by name.
CarsonTSS Training CampYour trainer. Ask him anything about the system, any hour β€” "Carson, how do I send a task back?" β€” or ask him to run you through a drill.
Try: "Sterling, what's open at Lumberton?" Β· "Sterling, brainstorm: how do we lift autopay at Wedgefield?"

All bots are read-only β€” they report, remind, and think out loud. They can never change rates, send tenant letters, or move money.

6 Β· Your first-day checklist

  1. Open the launcher from TSS Ops β€” look at the board groups (Overdue / Awaiting verification / Waiting 48h+ / On track).
  2. File one real task to a store you supervise, with AI suggest. Tag the other supervisor as verifier.
  3. Watch it ping the store group (within 15 min on a weekday).
  4. When the manager replies "done", verify it (or send it back) from the launcher.
  5. Ask Sterling one question by name in TSS management.
  6. Ask Carson in Training Camp for the "week one drill" β€” he'll coach you through the rest.

Questions this page doesn't answer β†’ ask Carson in Training Camp, or text Amit.
